4. Application-support and application-delivery services

Where you order an application-support or application-delivery service, you instruct us to use the personal information and application materials you provide for the purpose of preparing and sending applications to employers that match, or reasonably relate to, the criteria you selected.

This may include sending your name, contact details, CV, covering or introductory letter, job preferences and other application-related information to employers in Austria, Germany, the United Kingdom or other countries relevant to the service you request.

We do not sell your CV or application information to employers. Disclosure to employers is made for the purpose of carrying out the application service you requested.

Once an application has been delivered to an employer, that employer may become an independent data controller for the copy of your information it receives. The employer's own privacy notice, recruitment procedures and retention rules may then apply. Telenews cannot unilaterally delete information from an employer's systems after lawful delivery, although we can provide reasonable assistance with a request where appropriate.

Where employer responses are received through an address or system used for the service, we may process and forward those responses to you and assist with written communications where this forms part of the service.

5. CVs, uploaded documents and sensitive information

Please include only information that is reasonably relevant to your application. We do not normally require you to provide special category information such as health information, racial or ethnic origin, religious or philosophical beliefs, political opinions, trade-union membership, genetic or biometric data used for identification, or information about your sex life or sexual orientation.

If sensitive information becomes necessary for a specific application or service, we will only process it where an appropriate legal condition applies and, where required, we will seek explicit consent before using or disclosing it. Please do not include criminal-conviction or offence information unless it is genuinely required for the relevant purpose.

6. Who we share personal information with

Where necessary, we may share personal information with the following categories of recipients:

Cognito Forms acts as a service provider/data processor for form information submitted through forms we control. Its privacy information is available at https://www.cognitoforms.com/legal/privacy.

Stripe may act as a processor and, for certain activities such as fraud prevention, regulatory compliance or payment-network requirements, as an independent controller. Stripe's privacy information is available at https://stripe.com/gb/privacy.

7. Payment information

Where payment is made through a Stripe-hosted payment page or Stripe payment technology, payment-card details are submitted to Stripe. Telenews does not need to receive or store your full card number or card security code in order to provide the service. We may receive transaction information such as your name, email address, amount, currency, payment status, transaction reference, refund or dispute status and other information necessary for order and accounting administration.

If another payment provider is offered for a particular service, the provider will process payment information under its own privacy terms.

8. Cookies, security technologies and email-related technical data

Our websites may use strictly necessary cookies or similar technologies for functions such as sessions, security, authentication, fraud prevention and service operation. Where we use non-essential storage or access technologies, we provide information and obtain consent or offer an objection mechanism where required by applicable law.

We may record technical email-delivery information such as sending status, delivery failures, bounce information and replies where this is necessary to administer an application service. We do not use individual email-open tracking pixels unless their use is lawful under the applicable electronic communications and data protection rules and any required information, consent or objection mechanism has been provided.

9. International transfers

Telenews Limited is established in the United Kingdom, while our customers, employers and service providers may be located in the United Kingdom, the European Economic Area (EEA) and other countries.

Application information may be transferred to employers in the country or countries covered by the service you request. Transfers between the United Kingdom and EEA countries may be made where applicable adequacy arrangements permit the information to flow without additional transfer safeguards.

Some technology providers may process information outside the United Kingdom or EEA, including in the United States. Where data protection law requires safeguards for an international transfer, we use an applicable lawful transfer mechanism, such as adequacy regulations, an applicable data privacy framework, approved standard contractual clauses, the UK International Data Transfer Addendum, an International Data Transfer Agreement, or another legally permitted safeguard.

You may contact us if you would like further information about the safeguards applicable to a particular transfer.

10. How long we keep personal information

We keep personal information only for as long as reasonably necessary for the purpose for which it was collected, including providing the service, dealing with follow-up questions, maintaining business and accounting records, complying with legal obligations, resolving disputes and establishing or defending legal claims.

Our typical approach is:

Copies contained in routine backups may remain for a limited period until those backups are overwritten or securely retired.

11. How we protect personal information

We use reasonable technical and organisational measures designed to protect personal information against accidental or unlawful loss, misuse, alteration, unauthorised access or disclosure. These measures may include access controls, encrypted connections, account security, restricted administrative access, encrypted storage where supported and appropriate, security monitoring and reputable third-party service providers.

No internet transmission or electronic storage system can be guaranteed to be completely secure. If we become aware of a personal-data breach, we will assess and handle it in accordance with applicable data protection law.

12. Direct marketing

We may send information about our own services where you have asked to receive it, consented where consent is required, or where applicable law otherwise permits us to do so. Every electronic marketing communication will provide a practical way to unsubscribe or object where required.

Your right to object to direct marketing: You have the right to object at any time to the use of your personal information for direct marketing. If you object, we will stop using your information for that purpose.

13. Automated decision-making

We may use software tools to help organise information, identify potentially relevant employers or support administrative tasks. We do not make decisions about you based solely on automated processing that produce legal effects, or similarly significant effects, on you. Employers independently decide whether to progress, interview or offer employment to an applicant.

14. Your data-protection rights

Depending on the applicable law and the circumstances of the processing, you may have rights including:

These rights are not absolute in every case. For example, we may need to retain certain information where required by law or where it is necessary to establish, exercise or defend legal claims.

To exercise a data-protection right, contact us at office@telenews.co.uk. We may need to verify your identity before acting on a request.

15. Complaints

If you have a concern about how we use your personal information, please contact us first so that we can investigate and respond.

You also have the right to complain to the UK supervisory authority:

If EU GDPR applies to the processing of your information, you may also have the right to complain to the competent data-protection supervisory authority in the EEA.

16. Children

Our paid application-support services are intended for adults. We do not knowingly collect personal information from children for these services unless there is a lawful reason and appropriate authorisation to do so.

17. Third-party websites and platforms

Our websites and communications may contain links to third-party websites, employer websites, social-media platforms or other online services. Telenews is not responsible for the privacy practices of independent third parties. You should review their privacy information before providing personal information directly to them.

18. Changes to this Privacy Notice

We may update this Privacy Notice when our services, technology, providers or legal obligations change. The current version will be published with the date of the latest update.
